Oral Presenter Guidelines

The guidelines for oral presenters, including presentation file upload, have been sent via Oxford to all presenters. They are also viewable here:

To upload your presentation file electronically, please navigate to your Oxford Abstracts dashboard. Click on the red "incomplete" button and upload your file using the appropriate naming convention. After uploading, you will receive an automated confirmation message.

An updated file with the naming convention for each presentation is below. Any future changes to the schedule will not be reflected in this xlsx, so please double check the general convention on page 2 of the oral presenter guidelines.

Poster Presenter Guidelines

The guidelines for poster presenters, including maximum poster size, have been sent via Oxford to all presenters. They are also viewable here:

Online poster gallery

The Oxford Abstracts online platform provides the opportunity for poster presenters to share an electronic version of their poster in the online poster gallery. The poster gallery increases exposure for your poster and includes a chat function that allows you to connect with other conference attendees.

If you wish to participate, please go to your Oxford Abstracts dashboard. Click on the red "incomplete" button and upload your file. After uploading, you will receive an automated confirmation message.

Please note: All presenters must print their poster and bring a physical copy to the conference. Participation in the online poster gallery does not replace the requirement for in-person participation.

Assigned location

All poster presenters have an assigned location, which you can view on pages 22–29 of the Program pdf (first link above). The floor plan is on page 35 of the Program pdf.

Marriott and Embassy Suites Hotels

For guests that reserved a hotel room with the BEM room block, we'd like to remind you of a few logistics that are posted on the travel pagea Hotel check-in begins at 4:00 PM. Luggage storage is available in the Kaye room (second floor) for early arrivals. During check-in, guests will need to provide a method of payment, preferably credit or debit. If you need to charge the hotel directly to a grant/index without a card, then you will need to contact the hotel ahead of time and sign a Certify Form prior to arrival. Guests need to sign an authorization for incidentals ($100/night at Marriott, $150/night at Embassy Suites) and authorize a method of payment during check-in. If no incidentals are incurred, funds will be reimbursed after checkout.
